Overview

When sending important email to a recipient, often the sender will copy third parties by including them in the CC or BCC fields of the message. Sometimes the copies are sent as a simple “FYI” about the communication with no specific action or response requested. Other times, the sender needs a way to provide the CC or BCC group with context for the message so they know precisely why they are receiving a copy, how to follow-up, and who should do what.

RPost’s SideNote® service lets the sender add context for CC and BCC recipients in the form of private comments and instructions on the original message, thereby eliminating the need to forward additional copies or make follow-up calls. With one keystroke, business professionals can now clearly delineate roles, expectations and next steps regarding an email message to more effectively manage internal and external communication.

Common Question:

How can I be sure that the private note for the CC/BCC recipient will be invisible to the primary “To” recipient?
When the email is transmitted with the sender’s private SideNote inserted, RPost’s processing servers separate the To, Cc, and Bcc recipients. The processing servers add the note to the Cc and Bcc recipient emails as directed in the original sender’s transmission.

The SideNote® service functions as an add-on feature within the RPost Registered Email® suite of outbound messaging solutions.

Sending

Step 1: Address and type the message content as usual from their regular email application
Step 2: Select the “Send Registered” button and the SideNote option appears
Step 3: Add the SideNote text and select CC and/or BCC addresses as applicable
Step 4: Press Send to complete the transmission

Receiver's View

Receiving

When the official “To” recipient receives the message, they see the original without any extra notations. When the Cc and/or Bcc recipients receive their message, it includes the SideNote® message, as a clearseparate note, at the beginning of the message body. This is much like scratching a note on the cover ofthe memo or like adding a yellow sticky note to the cover email on the copied versions.
