PDF Conversion

Overview

The Convert to PDF feature allows for quick, on the fly conversion of Microsoft Word, Excel and PowerPoint documents to be converted to a PDF for the receiver. The RPost® system has a dedicated PDF conversion infrastructure that converts the documents the sender requests to a PDF with no tedious extra steps.

In addition, the sender may decide to add extra security to the PDF by assigning a password the receiver must input to open the PDF

Common Questions:

How does the receiver get the password to open the attached PDF?
Assigning a password to open a PDF is optional and can be any number of letters or numbers. Typically you would like to make the password something that the receiver is familiar with, like their account number with your company or similar. You may even put in the body of the email, "the password to open the attached PDF is your account number with our company." Or you can send another email to the receiver with the password to open the file.

Can I encrypt my email attachments?
Yes. Sending sensitive data in the PDF format with a set password is a form of sending secure (encrypted) documents, or a more private transmission of sensitive information. The body of the email will not be encrypted unless otherwise selected.

Can the recipient search for key words if my document is in PDF format?
Yes. The PDF conversion preserves the reader's ability to search the text of the document for key words.

Sender's View

Step 1: Compose a new Message and press the "Send Registered" button.

Step 2a: When the Registered Email feature pop-up appears, select the sending feature "Convert Office attachments to PDF" on the pop-up and choose the appropriate file you wish to convert, Microsoft Word, Microsoft Excel or Microsoft PowerPoint. Next press the "Send" button.

Step 2b - Password Protected PDF (optional): When the Registered Email feature pop-up appears, select the sending feature "Convert Office attachments to PDF" on the pop-up and choose the appropriate file you wish to convert, Microsoft Word, Microsoft Excel or Microsoft PowerPoint. Next check the box "Encrypt PDF" and choose any password that you want the receiver know in order to open the password protected PDF and press "Send" on the pop-up.

NOTE: The password can be any number or letter combination.

Receiver's View

Step 1: The receiver opens the email like any other message and the attachment is now a print quality PDF.

Step 2: Password Protected PDF (optional): Once the attachment is opened a pop-up appears where the receiver inserts the agreed upon password. Once the correct password is inserted, the PDF attachment can be viewed in its entirety.
