Form Field Controls

Form Field Controls

As an RSign user you are provided with an array of form field controls. Each control is used to capture specific information from the document. Adding form field controls to prepare a document takes place in Step 2: Prepare and is the second step in preparing a document for signature or for creating a template.

To use form field controls:

  1. Select and hold a Form Field Control on the bottom  Form Field Control Toolbar with the cursor of your mouse. Drag your selection to the correct location in the document. Release the button and Drop the form field control into the document.
  2. After the form field control is added to the document, a pop-up window will display the settings unique to this form field control.
  3. Select your preferences for this form field control and press the green check box.

The following form field controls can be dragged and dropped into the document.

Field controls from left to right:

  • Signature
  • Text
  • Name
  • Title
  • Company
  • Date
  • Email
  • Checkbox
  • Initials
  • Label
  • Radio Button
  • Dropdown List
  • Date & Time Stamp

Form Field Control Features

Signature

Signature Field

    1. Drag the Signature box to the location where you would like a a user to add his or her signature.
    2. Set the available options:
      • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
      • Required: Check the Required box to make this field mandatory.
    3. Press the green check when complete.

Text

Text Field

  1. Drag the Text box to the location where you would like a person to input text.
  2. Set the available options:
      • Label: Name the text box.
      • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
      • Required:
        • Yes: The text box is required.
        • No: The text box is optional.
      • Text Type:
        • Text: Select to allow any text to be added to the field.
        • Numeric: Select to only allow numbers to be added to this field.
    • Length: The default text field length is set to 10 characters. This can be adjusted bychanging the number of characters in this field. The number of characters can also be changed by resizing the textbox form field control on the document by clicking on and pulling the bottom right hand corner of the form field.
    • Text Formatting:Set the font type and color of the text placed in this field.
  3. Press the green check when complete.

Name

Name Field

  1. Drag the Name box to the location where you would like a person to add input his or her name.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required:
      • Yes: The text box is required.
      • No: The text box is optional.
    • Text Formatting:Set the font type and color of the text placed in this field.
  1. Press the green check when complete.

Title

Title Field
  1. Drag the Title control to the location where a person is to place his or her job title.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required:
      • Yes: The text box is required.
      • No: The text box is optional.
    • Text Formatting:Set the font type and color of the text placed in this field.
  3. Press the green check when complete.

Company

Company Field

Drag the Company control to the location where the person is to place his or her company name.

    1. Set the available options:
      • Signer:Select the person you want to assign this control field to if the document is sent to more than one recipient.
      • Required:
        • Yes: The text box is required.
        • No: The text box is optional.
      • Text Formatting: Set the font type and color of the text placed in this field.
    2. Press the green check when complete.

Date

Date Field

  1. Drag the Date control to the location where the person can enter the date.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required:Check the Required box to make this field mandatory.
  3. Press the green check when complete.

Email

Email Field

  1. Drag the Email control to the location where the person is to place his or her email address.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required:
      • Yes: The text box is required.
      • No: The text box is optional.
    • Text Formatting:Set the font type and color of the text placed in this field.
  3. Press the green check when complete.

Checkbox

Checkbox Field

  1. Drag the Checkbox control to the location where a person is given the option or required to check a box.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required: Check the Required box if this is a mandatory field.
  3. Press the green check when complete.

 

Note:  The grey border on the outside of the checkbox will not be visible to the signer(s).


Initials

Initials Field

  1. Drag the Initials control to the location where the signer can place his or her initials.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required:
      • Yes: The text box is required.
      • No: The text box is optional.
    • Text Formatting: Set the font type and color of the text placed in this field.
  3. Press the green check when complete.

Label

Label Field

Note: The Label is a visual aid only to prompt with more information and is will not appear on the final version of the document.

  1. Drag the Label control near a location that requires more information. Note: if you drag the label onto the location that requires more information you could obscure it, place the label in an area that is not necessary if covered.
  2. Set the available options:
    • Label: Enter the Label text in the field. This text will be printed on the document and visible to all signers.
    • Text Formatting: Set the font type and color of the text placed in this field.
  3. Press the green check when complete.

Radio Button

Radio Button Field

  1. Drag the Radio Button control to the location where a person is to select one option from a group. Any number of radio buttons may be assigned to a group. Multiple groups may be added to a single document.
  2. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    •  Example:
      • Group Name: Marital Status
      • Radio button 1: Single
      • Radio button 2: Married
      • Radio button 3: Separated
      • Radio button 4: Divorced
      • Radio button 5: Widowed
    • Group Name: This field assigns the radio button to a specific group of other radio buttons. For example, the group could be named “group 1” or “Animal” and all radio buttons with those name will be grouped together where the signer will have an option to pick one out of the group.
    • Radio Name: Option to name the specific radio button. The Radio Button is named “Radio” by default.
    • Required (Group): Check this box to require the assigned person to select an option from this group.
    • Pre-selected: Check this box to make a specific radio button pre-selected when the signer opens the document.
  3. Press the green check when complete.

 

Note, the grey border on the outside of the radio button will not be visible to the signer(s).

Dropdown List

Dropdown List Field

  1. Drag the Dropdown List control to the location where a person should make a selection from the options provided from this form field control
  2. Set the available options:
    • Example dropdown options:
      • United States
      • Canada
      • United Kingdom
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Required: Check the Required box to make this field mandatory.
    • Option First Line Blank: This will leave the first line on the Dropdown List blank. This is useful in not creating a selection if the signer does not use the Dropdown List Control.
    • Options: Add the list options to this field and press the green check button. The red trash can icon deletes the item. The order the options are added will be the order the options appear in.
  3. Press the green check when complete.

Date & Time Stamp

Date & Time Stamp Field

Drag the Date & Time Stamp control to the location where  you like to add a time stamp. When a person completes the signing process a date & time the will automatically populate in this location.

  1. Set the available options:
    • Signer: Select the person you want to assign this control field to if the document is sent to more than one recipient.
    • Text Formatting: Set the font type and color or the text placed in this field.
  2. Press the green check when complete.

 

Note: This field is not visible to the signer when they open the document for signing. The RSign system auto-populates the Date & Time information when a person completes the signing process.
